For an owner with two cleaners, start with BookingKoala if the purchase is mainly about letting customers price and book a cleaning online. Start with ZenMaid Pro if the work you need to organize is an established recurring schedule and cleaner pay. Treat those as trial priorities: neither product’s documentation proves which will be easier for your team.
Both entry plans can land at $27 a month for this roster. That apparent tie is fragile. The same customers can generate 38 appointments in one month and 46 in another, pushing past ZenMaid Starter’s allowance. Text reminders or GPS can change the BookingKoala tier you need before volume enters the picture.
This comparison uses published vendor documentation, not hands-on product testing. Prices are in U.S. dollars, and the scenarios are hypothetical. The manufacturer sources appear at the end.
What the $27 tie actually buys
ZenMaid includes the Owner profile in its base rate. Two active cleaners add $8 on Starter or $28 on Pro. That makes the modeled monthly subscriptions $19 + $8 = $27 and $39 + $28 = $67. An office manager would be another paid profile; leaving a real worker out is not a legitimate budgeting shortcut. [ZenMaid profile billing explained]
BookingKoala Starter lists $27 a month for five providers or 5 GB. Providers perform services, and each member of a team counts separately. An owner who only handles administration is different from an owner who also cleans: our example needs two providers in the first case and three in the second. Both fit that published provider allowance, assuming storage remains within the plan limit. A sixth provider or excess storage changes the budget. [BookingKoala pricing and plan limits]
Keep that $27 figure on your budget as a subscription baseline. You still need to account for taxes, messaging, payment processing, implementation, and paid extras—and check whether the plan contains the tools you intend to use.
Your clients can stay the same while your plan stops fitting
Suppose you have eight weekly customers and three every-other-week customers. Treat each cleaning visit as one appointment, with no cancellations, duplicate entries, or one-time jobs.
In a month with four visits per weekly customer and two per alternating customer, you have 8×4 + 3×2 = 38 appointments.
Now put the weekly customers on weekdays that occur five times in the next modeled month. Keep two visits for each alternating customer. You have 8×5 + 3×2 = 46 appointments—eight more visits from exactly the same customer list.
ZenMaid Starter’s ceiling is 40 appointments per month. The published ZenMaid Starter plan information says further appointments for that month require an upgrade once the limit is reached. Pro has unlimited appointments. [ZenMaid pricing and plan features]
In this scenario, the $27 Starter budget becomes a $67 Pro budget: a $40 difference, not just the $20 difference between the base prices. The per-cleaner charge rises too.
The smaller month leaves room for just two extra appointments; the larger one exceeds the cap by six. If the alternating customers each have three visits, the total reaches 49 before any one-time work. Count the occurrences on your calendar rather than multiplying a typical week by four.
You can also work backward from the limit. Allow six appointments for three alternating clients. That leaves room for six weekly clients with five visits each: 30 + 6 = 36. A seventh weekly client takes the total to 41.
The model assumes one appointment per visit, regardless of how many cleaners attend. It does not settle how the software treats canceled entries or generated recurring appointments. Confirm those details if your budget depends on landing exactly on the limit.
BookingKoala’s pricing page does not state a comparable monthly appointment cap. Ask it to confirm your projected volume; silence is not a promise of unlimited bookings. [BookingKoala pricing and plan limits]
Online booking changes which plans belong in the comparison
BookingKoala advertises customizable booking forms on Starter. ZenMaid lists website booking forms on Pro. For our roster, that makes $27 versus $67 a more relevant subscription starting point when customer self-booking is necessary. Before comparing form features, write down a booking you would accept without calling the customer. Specify the service, extras, frequency, and price. BookingKoala documents category rules, minimum charges and duration, and dependencies involving frequency and location. [BookingKoala service-category rules] That makes it a sensible first trial when you can express your services as reliable rules. Confirm that your exact rule combination is available on the quoted plan; a general feature guide does not establish Starter access to every option.
The difficult part may be your own pricing policy. A first deep clean and its maintenance visits can need different prices or time allowances. Check that the form handles both before putting it in front of customers. This is a setup responsibility, not evidence that one platform takes longer to learn.
ZenMaid Pro deserves the first trial when the owner already controls intake and needs to manage the work after a booking. Its plan includes checklists, GPS, payroll, and Spotfinder. [ZenMaid pricing and plan features] Its help documentation describes fixed and variable per-appointment cleaner pay and later adjustments. [ZenMaid fixed and variable cleaner pay]
Recurring customers alone do not settle the choice. BookingKoala also documents repeat appointments and team assignments, including a way to move one visit or future visits into an unassigned folder. [BookingKoala recurring scheduling features] [BookingKoala unassigned-job workflow] Give more weight to the work you perform every day: configuring what a customer can buy, or handling the schedule and pay after the booking.
SMS and GPS can erase the entry-plan comparison
If text reminders and GPS are essential, compare BookingKoala Growing, advertised at $57 monthly, with the modeled $67 ZenMaid Pro subscription. Growing lists SMS and GPS/clock-in; ZenMaid Pro includes GPS and broader communication templates. [BookingKoala pricing and plan limits] [ZenMaid pricing and plan features]
The resulting $10 subscription gap does not tell you which costs less overall. ZenMaid’s SMS bundles start at $14 for 125 messages, and the purchasing frequency depends on use. [ZenMaid profile billing explained] BookingKoala’s notification documentation points to Twilio setup; this comparison has no equivalent messaging quote. [BookingKoala unassigned-job workflow]
Both vendors offer cancellable monthly plans. ZenMaid also offers annual plans by request, but these calculations assume ordinary monthly billing and no discount. Run the same job through both trials
Use one standard clean and its recurring follow-up. Enter the first-visit price, repeat price, extras, and duration. Check what a customer sees, assign both cleaners, move one visit, and verify that later visits remain correct. Then review the cleaner-pay result and the notifications you actually require.
Use your busiest projected month for the volume check. Ask each vendor to confirm the precise plan, roster charges, limits, and paid dependencies needed to reproduce your setup. Do not treat a feature exposed during a higher-tier trial as proof that the entry plan includes it.
If customer self-booking is the priority, take your hardest pricing rule into BookingKoala first. If managing repeat visits and cleaner pay is the priority, take your busiest schedule into ZenMaid Pro first. ZenMaid Starter still deserves a look when every month fits within 40 appointments and Pro’s features are unnecessary. Commit after the required workflow works and the vendor confirms the plan that supports it.
